Responsibilities:

  1. Client Communication: Respond to client inquiries, manage calls, and relay messages to appropriate staff.
  2. Scheduling & Appointments: Coordinate meetings and appointments for CPAs and other team members, ensuring that clients' needs are met promptly.
  3. Document Management: Organize and maintain files, records, and documents, both physical and electronic, ensuring easy access and compliance with regulations.
  4. Data Entry: Input financial data, client information, and other details into accounting software or spreadsheets.
  5. Office Organization: Maintain a clean and organized office environment, handle office supplies, and manage inventory.
  6. Billing & Invoicing: Assist with client billing by preparing and sending invoices and tracking payments.
  7. Prepare Reports: Assist with creating financial reports and ensuring accuracy before final approval by senior accountants.
  8. Support Staff: Provide administrative support to the accounting team, including filing, typing, and document preparation.

Requirements:

  1. Education: A high school diploma or equivalent; a degree in business administration, accounting, or a related field is a plus.
  2. Experience: Prior experience in an administrative or office support role, ideally in a financial or accounting firm.
  3. Skills:
    • Proficient in office software (Microsoft Office Suite, Google Workspace).
    • Experience with accounting software (QuickBooks, Xero, etc.) is preferred.
    • Strong organizational and multitasking skills.
    • Excellent communication (written and verbal) skills.
    • Attention to detail and ability to handle sensitive financial information.
  4. Work Ethic: Ability to work independently and as part of a team in a fast-paced environment.
  5. Confidentiality: Handling private client data with discretion and maintaining confidentiality.
