Administrative Support Staff
Responsibilities:
- Client Communication: Respond to client inquiries, manage calls, and relay messages to appropriate staff.
- Scheduling & Appointments: Coordinate meetings and appointments for CPAs and other team members, ensuring that clients' needs are met promptly.
- Document Management: Organize and maintain files, records, and documents, both physical and electronic, ensuring easy access and compliance with regulations.
- Data Entry: Input financial data, client information, and other details into accounting software or spreadsheets.
- Office Organization: Maintain a clean and organized office environment, handle office supplies, and manage inventory.
- Billing & Invoicing: Assist with client billing by preparing and sending invoices and tracking payments.
- Prepare Reports: Assist with creating financial reports and ensuring accuracy before final approval by senior accountants.
- Support Staff: Provide administrative support to the accounting team, including filing, typing, and document preparation.
Requirements:
- Education: A high school diploma or equivalent; a degree in business administration, accounting, or a related field is a plus.
- Experience: Prior experience in an administrative or office support role, ideally in a financial or accounting firm.
- Skills:
- Proficient in office software (Microsoft Office Suite, Google Workspace).
- Experience with accounting software (QuickBooks, Xero, etc.) is preferred.
- Strong organizational and multitasking skills.
- Excellent communication (written and verbal) skills.
- Attention to detail and ability to handle sensitive financial information.
- Work Ethic: Ability to work independently and as part of a team in a fast-paced environment.
- Confidentiality: Handling private client data with discretion and maintaining confidentiality.
